A pickup list supports consistent custody-transfer checks across shifts and classrooms. It does not decide legal custody or override a court order; it records the guardian's current directions within the program's policies and applicable law.

The combined sheet creates a daily chain-of-handoff record. It is more detailed than monthly attendance and different from the arrival-only sign-in sheet because it identifies both adults and both times.

Build a workable process

How to use this form set

Do not prefill the event

Record arrival and departure at the actual handoff. Prefilled times and signatures weaken the record and make closing reconciliation harder. Use a visible correction method instead of erasing history.

Verify release authority first

A familiar face, billing contact, or emergency contact is not automatically pickup-authorized. Check the current signed list and the program's identity procedure before completing release. Escalate a mismatch through trusted guardian contacts.

Reconcile before close

Every signed-in child should have a valid departure or documented transfer. Compare attendance and handoff records when required by licensing, subsidy, meal, billing, or emergency procedures.

Which log should a daycare use?

Choose based on the exact record required. Some programs need both a monthly roster and a daily custody-transfer log.

Can a digital signature replace paper?

Only if it meets the licensing, funding, identity, correction, and retention requirements that apply to your program.

What if an unauthorized adult arrives?

Do not release the child. Follow the written verification and escalation procedure and contact the guardian through a trusted channel.

Should health details appear in sign-in notes?

Keep a shared log minimal. Move private or actionable health details to the appropriate confidential record and conversation.
